Centralisys began as an in-house solution to every company's biggest headache - spending time hand-holding clients without being able to bill for the time being spent.
As our business grew we found that we were increasingly spending time on telephone calls - taking details of new jobs and updating clients on the progress of existing jobs - than actually getting the work done!
Centralisys was devised as an online system that would prompt our clients to clearly specify jobs and to prioritise them. We would then record progress on the job in Centralisys, and the clients would receive emails notifying them of the updates.
Centralisys allows you to create a Client account for each company you work with, and a user account for each person who works for that company. Or, to make your life easier, you can direct them to the home page, and give them a "Client Access Code", and let them register their own accounts.
Once a user logs in they can visit the "Jobs" area. By default this just shows jobs that have been assigned to them, ordered by priority. Search boxes let them pick a range of options - e.g. "Jobs posted by John Smith, assigned to Bob Carruthers and marked 'Urgent' priority."
The "Edit Job Details" page prompts the client to enter enough information for you to get the job done, and provides a milestone for you to mark off progress against. This removes the frustration of taking a specification by hand, and later getting into a dispute when the client says "Actually, what I meant was..."
Whenever a job is updated, the system will identify anyone with an "interest" in the job (e.g. users from the same client company), and offer to automatically email them with the update details. Changes are logged, and you are always prompted to specify the amount of time you have spent on the work.
The "Invoicing" screen gives you an at-a-glance view of what work has been logged, and who needs invoicing. No more collating paper records, or asking your staff to pluck figures from the air for "how many hours did you spend on the job for Smithson's last week?"
